Key Terms of Engagement

  • Sales are subject to 10% + VAT admin fee to pay towards building, utilities, card payment and administration costs.
  • Craft Coop will provide you with a breakdown of sales at the end of each working month. All monies taken minus the admin fee (and any outstanding debts) will be transferred to your chosen bank account usually within 5 working days of the working month end.
  • Non-payment of space invoices (shelf, wall, table rent etc) will result in monies from sales not being paid or stock removed from sale until paid. We don't take rent from sales unless you have given permission in writing.
  • Any claims for refunds under a customer's statutory rights will remain your responsibility as a vendor. Any requests or claims of this nature will be directed to you for resolution. Any loss due to damage or theft of the products or services is the sole risk of the vendor - although Craft Coop takes all reasonable steps to minimise such loss and Coopers are encouraged to ask customers who damage an item to pay 50% towards the cost.
  • You agree to comply with all legal and regulatory requirements in relation to the sale of goods and services - including trading standards information - and shall at all times ensure that you have public and product liability insurance in place to the value of £5million (to be produced in evidence at any time requested). Failure to maintain or provide this will be considered a breach of our agreement and will be grounds for removal of any offending item from the shop and/or termination.
  • Termination: Either party must provide 14 days' written notice.

Shifts

Unless otherwise agreed, we expect you to do one shift per week your products are in the shop, including one weekend shift per month. You can carry forward extra shifts or make up shifts in the following month if necessary. If you leave the shop without fulfilling all of your shift duties, we will charge you £20 per shift.

Except in the case of an emergency, if you need to switch a rota shift, it’s up to you to do this – you will be included in the Rota WhatsApp or messenger group for the shop. If you have any problems with your shifts, please contact your rota or shop manager.

Display

We reserve the right to move or change your display to show your products off to their best advantage. Please remember that we are a shop, not a craft fair, so there are no tablecloths, hooks, lights or business cards (other than your biography) on your space. Furthermore, although it is not always possible to give you your preferred position in the shop, nor is it always possible to showcase everyone’s products on a feature table or in the window, but we do try to move products around so that everyone has a chance to be in a different area. ("shelf shuffle")

Things happen - how to make changes

Please provide a minimum of two weeks' notice to your manager for any changes to your space requirement, for example additional/removal of a shelf or leaving the shop. Likewise, please consult your shop manager if you would like to bring in additional products of a different type than initially approved. These should be of the same standard as your main range, and should complement your other products, and should not, under any circumstances be the same as anyone else’s in the shop.

Christmas is different

Slightly different rules apply in our busiest period, but it is best that this is understood upfront by all.

December and January are treated as a single block of 9 weeks, booked together. You will be charged for 8 weeks and therefore be expected to do 8 shifts in December and January. Although space can be reduced if required and possible in January, notice to leave cannot be effective until end of January.

Working together as an award-winning community

We are proud of the fact that the Craft Coop Shop is an award-winning shop and we expect you to behave in a manner reflecting this. This includes: being on time, being friendly and informative, keeping personal items (including phones) and drinks out of sight, not sitting behind the till, and generally keeping the shop clean and tidy.

We are all in this together and we expect you to help each other out, to be nice to each other, to sell other people’s products as if they were your own, to restock all shelves, to promote the shop whenever you can at events, and to help out if possible whenever you can with our community and fundraising activities which are really important to us.

You are responsible for joining all our internal communication tools - for example, WhatsApp or messenger chat for your shop, along with the private Facebook group - to ensure that you can stay aware of news, rota requirements, events etc. In addition, please ensure that you follow and support our social media channels - i.e. your shop's official Facebook page/group and Instagram. Make the most of tagging these accounts in your own communications and talk to your shop management for guidance on hashtags and which groups are most effective.
